Information we handle
Depending on how you use Barnes IP Training, we may handle:
- your name, email address and other contact details;
- your account and login details;
- courses you have booked or enrolled on;
- your course progress, activity responses, quiz results and completion information;
- information about an organisation that books or pays for training for you;
- enquiries, support requests and other communications with us;
- purchase and transaction records;
- marketing and waitlist preferences; and
- technical and security information, such as IP address, browser information and records of account activity.
Payment providers may handle card or other payment details directly. We normally receive information about the transaction rather than your full payment credentials.
Where information comes from
Most information comes directly from you when you create an account, make a booking, join a waitlist, use a course or contact us.
If an employer, firm or other organisation books training for you, we may also receive your name, email address and course details from that organisation.
Some technical information is collected automatically when you use the website or learning service.
How we use information
We use personal information only where we have a lawful reason to do so.
We use account, enrolment and learning information to provide the training service you or an organisation purchasing training for you has requested.
We use purchase and transaction information to administer payments, keep business and accounting records and comply with our legal obligations.
We use technical and security information where necessary to protect accounts, prevent misuse and operate the service reliably. Our legitimate interest is in running a safe and effective online training service.
We use enquiries and communications to respond to you and manage our relationship with learners and customers.
We may use information about how the service is used to maintain and improve our courses and learning platform. Where consent is required for cookies or similar technology, we ask for it before using that technology.
We may also use or retain information where necessary to comply with the law or establish, exercise or defend legal claims.
Course progress and organisation bookings
If an employer, firm or other organisation buys training for you, we may provide that organisation with information needed to administer its booking.
Where the service purchased by that organisation includes learner progress reporting, this may include information about your enrolment, course progress and completion. We will make this clear where that feature applies.
Waitlists and marketing
If you join a course waitlist, we use the name and email address you provide to send you information about that course and tell you when it becomes available to book. Joining a waitlist does not create a learner account.
If you sign up to our newsletter, we use the contact details you submit to send occasional Barnes IP Training news, articles and course updates. We use Mailchimp to collect and manage newsletter subscriptions and deliver those messages.
Where we rely on your consent, you can withdraw it at any time. You can use any unsubscribe option provided in our emails or contact us at courses@barnesiptraining.co.uk.
We will not use a waitlist sign-up as consent for unrelated marketing.
Who we share information with
We use service providers to help us operate Barnes IP Training. These may include providers of:
- website hosting and security;
- account authentication and learning-platform services;
- email delivery;
- email marketing and newsletter management;
- payment processing;
- accounting and business administration;
- analytics and technical support.
These providers may process personal information only as needed to provide their services to us.
We may also disclose information where required by law, to regulators or public authorities, or to professional advisers where reasonably necessary.
We do not sell personal information.
International transfers
Some of our service providers may process information outside the UK.
Where personal information is transferred outside the UK, we use an appropriate lawful basis for the transfer, such as UK adequacy regulations or approved contractual safeguards, where required.

How long we keep information
We keep personal information only for as long as needed for the purpose for which we collected it.
In deciding how long to keep information, we take account of the course access period, the need to maintain learner records and provide support, accounting and tax requirements, security needs and the time in which contractual or legal claims may arise.
Waitlist information is removed when it is no longer needed for that waitlist or when you withdraw your consent, subject to keeping any minimal record needed to respect an opt-out.
We keep payment and accounting records for the periods required by law.
Your rights
Depending on the circumstances, UK data protection law may give you the right to:
- obtain a copy of your personal information;
- correct inaccurate or incomplete information;
- ask us to erase information;
- ask us to restrict how information is used;
- object to certain uses of your information; and
- receive certain information in a portable form.
Where we rely on consent, you can withdraw that consent at any time. Withdrawal does not affect processing that took place before consent was withdrawn.
You can object to the use of your personal information for direct marketing at any time.

Automated decisions
We do not currently make decisions about learners based solely on automated processing where those decisions have legal or similarly significant effects.
